Web Site Role
This module creates a website role called Patron. This role will be used to send out pre-sales flyers for future shows a pre-determined number of days in advance of the show, with a link to the web site where the patron can order and pay for their tickets. Processing is done through a PayPal account which will allow for both PayPal and Credit Card purchases.
Electronic Newsletter
The web site will send out an email to the patron database proposing early ticket purchasing at a discount (say 2.50 to 5.00 below door prices). Wouldn’t it be great to have 75 - 80 percent of the revenue generated the previous year already in the hopper 60 days prior to the program. Members could then be concentrating on selling and aquiring Patron names from additional people because they are not having to sell to the previous set.
Patron Linked to Member
Patrons entered into the site would be linked to the original member that sold them tickets previously. So let’s use me as an example: Bob Smith typically sold 25-35 tickets each year. He emailed flyers to about 80 people on his email list. Some of them have conflicts or are out of town, but the majority of them that have the evening open purchase tickets. If they received a flyer from the web site that provided them a discount for purchasing early, many of them would purchase tickets early that may end up with a conflict if they wait to purchase tickets closer to the event. The earlier they save the date the better! Secondly, it took ZERO effort on Bob's part this time to sell them the tickets. He will still get credit for the sale, as they were originally entered as a patron of his.
Reporting on Sales/Rejects
The web site would track the email mailings and provide a list of any email addresses that were no longer valid. It would also track the sales of the tickets to the patrons by member, so reports could easily be emailed to each member showing the current level of activity (or requested right on the website on demand by the members). At this point additional phone calls may produce additional sales.
Patron List Updated Each Year
Immediately after each show, the web site will provide a list of current patrons for each member, showing their ticket purchases for this show. The member would update this list (in Excel format) and provide any new patrons that he wants to add plus any corrections in case the address or emails change for his existing patrons. This would possibly require a couple of phone calls after the show to validate an address in question, but hopefully the member called all patrons who had a rejected email address during the pre-sales campaign and got a current one.
Patron Base Grows Constantly
This is one of the only ways that other organizations have been able to continually sell lots of tickets. Maintaining a patron base should be fairly easy task if it is approached in a methodical manor.
Patron List Available
The patron list would also be available for other shows or functions. The website can easily be scheduled to put out a flyer immediately following the current show announcing the next program. There are lots of other possibilities as well.
Patron List Survives Membership
Patron list ownership would remain with the organization, not the member. If a member were transferred to a new city because of a job change or move, the organization would still have the members patron list to continue to market to!
